Set up
your devices.

Mail, calendar and contacts, working on your phone, tablet and computer.

Before You Start

You will need two things: your full email address and your password. If you do not have your password yet, ask whoever set up your account.

Most people only need one section — pick your device above, or read on.

iPhone, iPad and Mac

Apple devices are the quickest. One file sets up mail, calendar and contacts together, with push, so new mail arrives immediately.

  1. On the device itself, open this link in Safari, replacing the address with your own:

  2. Safari will offer to download a configuration profile. Allow it.
  3. iPhone or iPad: open Settings. Near the top you will see Profile Downloaded — tap it, then Install.
  4. Mac: open System Settings, then General, then Device Management. Select the profile and click Install.
  5. Enter your device passcode, then your OSMail password when asked.

The profile is signed, so it appears as Verified in green. That is your confirmation it genuinely came from us.

Install it within 8 minutes. Apple discards a downloaded profile if it is not installed within about eight minutes, and only one can wait at a time. If Profile Downloaded is missing from Settings, open the link again and go straight there.

Use Safari. Only Safari can hand a profile to iOS. Chrome will download it and nothing further happens; Firefox tries to pass it to Safari. Open the link in Safari, on the device you are setting up.

Android — Samsung Galaxy, Pixel and others

Android cannot use the Apple profile, so there are a few fields to fill in. Choose Exchange when asked for the account type — that gives you mail, calendar and contacts together, with push.

  1. Open your mail app and add a new account.
  2. Choose Exchange, Corporate, or Exchange ActiveSync. Do not choose "Personal (IMAP)".
  3. Enter your email address and password, then choose Manual setup.
  4. Fill in the server details below.

Enter the server as zpush.osmail.ca on its own — no https:// in front, nothing after it. Leave Domain empty if it is a separate field; where Samsung shows them joined as Domain\Username, just enter your email address.

Outlook and Thunderbird on a computer

Desktop mail programs connect differently from phones. Neither Outlook nor Thunderbird can use the Exchange connection your phone uses, so both connect by IMAP instead. Your mail works fully and stays in sync across every device.

Calendar and contacts do not come with IMAP. Use them in your browser at hub.osmail.ca, or connect them separately — see Files and calendar below.

Outlook — Windows or Mac

  1. Open File, then Add Account.
  2. Type your email address, choose Advanced options, and tick Let me set up my account manually.
  3. Choose IMAP.
  4. Enter the servers from the reference list below, then your password.

Do not choose Exchange in Outlook. Outlook removed support for the kind of Exchange connection we provide, so that option fails with "the server cannot be found" no matter what you enter. IMAP is the correct choice here, not a fallback.

Thunderbird

  1. Open Account Settings, then Account Actions, then Add Mail Account.
  2. Enter your name, email address and password.
  3. Choose Configure manually and enter the settings from the reference list below.

Recent Thunderbird versions offer an Exchange option. It uses a different Microsoft protocol from ours and will not connect — choose IMAP.

Webmail — nothing to set up

Read and send mail from any browser at webmail.osmail.ca, using your full email address and password. Because it needs nothing installed, it is also the quickest way to confirm your password is correct before setting up a device.

Files and calendar

Your files, shared calendars and contacts live at hub.osmail.ca, using the same address and password. Desktop and mobile sync apps are linked there under Settings.

Encrypted connections only. We accept no unencrypted mail connections, so the older ports some guides mention — 143 for IMAP, 110 for POP — are closed deliberately. If an app insists on one of those, its security setting is wrong rather than its port.

Help

If something will not connect

  • Check your password in webmail first. Sign in at webmail.osmail.ca. If that works, the password is right and the problem is a device setting. If it does not, the password is the problem.
  • Use your full email address as the username, not just the part before the @.
  • On Apple devices, open the profile in Safari, on the device being set up.
  • On a phone, choose Exchange — IMAP there gives you mail but no calendar or contacts. On a computer, choose IMAP — Outlook and Thunderbird cannot use our Exchange connection.
